Is Office 365 the right choice for business?
The odds of you never having used Microsoft Office in your working life are quite low. Whether it be working on a document in Word, a spreadsheet in Excel, or simply accessing your email through Outlook, the fact is Microsoft Office has been a trusted staple of businesses for over a quarter of a century.
One of the greatest improvements in the software suite over time, is the way in which the products can now be used. Office 365 is cloud-based, which means it can pretty much be used anywhere with an internet connection. However, for those that still want the desktop-based versions, this is still possible with a number of the packages - and with the further advantage of being able to install them on up to five different devices.
Having Office 365 means you will always be on the latest version of the software, at no extra cost. The suite is being continually updated and so too are your versions. Not only is this more secure, as any known issues will be patched quickly, but it also means you benefit from any additional functionality that is introduced.
In any business you will have staff doing various different functions, and they therefore might not all need exactly the same set of Office programs. Office 365 subscriptions are perfect for this as you can have multiple plans, so that you ensure you are never paying for something you don’t need. Upgrading and downgrading plans is very easy, and can be done in a matter of seconds within the Office Portal. Also, subscriptions are billed monthly which helps with cash flow as a large upfront lump sum is not required.
One of the major advantages of the updated software are the collaboration features of the suite. Gone are the days when you had to email documents back and forth in order to make any amendments! Office 365 gives you the ability to work on documents at the same time and see real-time changes. Versioning is also included as standard so it is possible to go back to an earlier version of the document if needed.
Security is a word we hear a lot in the IT industry, and the security enhancements available within Office 365 are very robust. It has many built-in features that have been developed to ensure the safety of your company’s data, as well as offering further add-ons for those companies that require extra levels of protection. Some of the enhanced security options include:
- Email Encryption – Features are available that allow you to ensure that only the intended recipient is able to read the email.
- Mobile Device Management – This feature allows you to protect your company’s information by restricting its access on a mobile device. You also have the ability to remotely wipe any data should the device become lost or stolen.
- Data Loss Prevention (DLP) Configuration – You can identify sensitive data and create policies that prevent users from intentionally, or accidentally sharing that data. This works across Exchange Online, SharePoint Online and OneDrive.
